Yadi Parfum — Retail & Loyalty Management System
Yadi Parfum is a comprehensive internal platform built for a multi-outlet perfume retail business. Before this system, stock, sales, and customer loyalty were managed separately across outlets, making it hard to get a reliable, real-time picture of inventory and business performance. This project consolidates every part of daily operations — inventory, warehousing, point-of-sale, customer loyalty, and staff payroll — into a single connected system.
The Challenge
A growing perfume brand with multiple physical outlets and a central warehouse needed a way to track stock movement accurately across locations, prevent shrinkage and discrepancies, reward repeat customers, and manage staff operations — without relying on spreadsheets or disconnected tools.
Key Features
Multi-Outlet Inventory Management: Tracks perfumes, bottles, and packaged products across warehouses and outlets, with support for stock transfers between locations, restocking workflows, and full stock-opname (physical count) audits to reconcile system records with actual stock on hand.
Warehouse & Outlet Stock Audit Trail: Every stock movement — increase, decrease, transfer, or correction — is logged per item and per location. This gives full traceability so any discrepancy can be traced back to exactly who made the change, when, and why.
Customer Loyalty Program: A complete membership system with tiers, point accrual on purchases, rewards redemption, voucher management, and referral codes designed to encourage repeat purchases.
Sales & Purchasing: End-to-end order and purchase workflows with itemized records, payment tracking, and Excel/PDF export for reporting.
Dynamic Product Badges: Products are automatically tagged as "New", "Best Seller", or "Hot" based on real sales volume, recency, and view counts without manual curation.
HR & Payroll: Employee records, salary history, and payroll generation with adjustments, scoped by role (Admin/Leader).
Content & Customer Engagement: An articles/blog module, testimonials, and FAQs to support marketing content, alongside push notification broadcasts for promotions and updates.
Role-Based Access Control (RBAC): Granular permissions separate back-office studio operations from outlet-level staff access, ensuring users only access data relevant to their role.
Outcome
Delivers a single source of truth for stock, sales, and customer data across all outlets — reducing manual reconciliation, improving stock accuracy through auditable logs, and driving customer retention with an integrated loyalty program.
